This Privacy Policy explains what information Loan OS collects, why it is collected, who it may be shared with, and the safeguards used to protect it in connection with loan processing and borrower workflow activity.

1. Information We Collect

Loan OS may collect personal, financial, and transaction-related information that users, borrowers, brokers, processors, lenders, or administrators provide through the platform. This may include names, email addresses, phone numbers, mailing addresses, dates of birth, Social Security numbers, EINs, property information, entity information, income information, liquidity and net worth information, credit profile details, and related workflow notes.

Loan OS may also collect documents and files uploaded to the platform, including government IDs, SSN cards, bank statements, tax returns, operating agreements, insurance documents, quote documents, application documents, and other files submitted for loan processing or underwriting workflows.

2. Why We Collect Information

We collect and process information to operate the Loan OS platform and support loan processing workflows, including borrower intake, quote delivery, application management, document collection, condition tracking, team collaboration, reminders, audit logging, and related servicing or transaction operations.

We may also use information to authenticate users, maintain account security, troubleshoot issues, improve platform performance, respond to support requests, and comply with legal, contractual, or operational obligations related to the platform.

3. Who We Share Information With

Information submitted through Loan OS may be shared with the company workspace operating the file, including brokers, processors, admins, team members, and borrower-facing contacts authorized on that transaction.

Information may also be shared, as directed by the company using the platform, with lenders, capital providers, processors, underwriters, servicers, vendors, document providers, storage providers, email providers, cloud infrastructure providers, and other service providers reasonably necessary to process, review, transmit, store, or support the transaction or the platform.

4. How We Protect Information

Loan OS uses administrative, technical, and organizational safeguards designed to protect information handled through the platform. These measures may include authentication controls, role-based access controls, audit and activity logging, controlled workspace permissions, and secure cloud infrastructure and storage providers.

No system can guarantee absolute security. Users and companies remain responsible for maintaining secure credentials, limiting access to authorized personnel, and notifying the platform operator of suspected unauthorized access or security incidents.

5. Company and Broker Responsibilities

Companies, brokers, lenders, and processing teams using Loan OS remain responsible for their own legal and compliance obligations relating to privacy notices, opt-out notices, consumer disclosures, authorization requirements, and any other notices or consent requirements that apply to their collection, use, and sharing of borrower or customer data.

Loan OS provides a workflow platform only and does not assume responsibility for a company's lending, brokerage, processing, underwriting, servicing, disclosure, or compliance decisions.

6. Retention and Access

Information may be retained for as long as reasonably necessary to operate the platform, support transaction history, maintain audit logs, comply with legal obligations, resolve disputes, enforce agreements, or satisfy backup and security requirements.

Access to data in the platform is controlled by the applicable company workspace, loan assignment, borrower relationship, and system permissions configured in Loan OS.

7. Changes to This Policy

This Privacy Policy may be updated from time to time. Continued use of the platform after an updated version becomes effective means the updated policy will apply, subject to any additional notice or consent requirements that may apply.
